Operations Analyst

Location: Stockholm

Duration: Temporary position (6–12 months parental leave cover)

We are looking for a skilled professional with a background in legal operations to temporarily support a global legal team. This role plays a vital part in ensuring operational efficiency across key legal support areas, including billing and vendor management, while contributing to broader legal strategy and project execution.

As a member of the legal operations function, you will be responsible for maintaining high standards in financial oversight, system administration, and external counsel coordination. You’ll collaborate closely with legal, finance, and business stakeholders to drive process improvements and maintain accurate financial tracking.

Responsibilities:

• Manage and enhance the legal e-billing system (e.g., Brightflag), ensuring smooth invoice processing, spend tracking, compliance with billing policies, and regular financial reporting.
• Provide ongoing support for e-billing platform users, addressing inquiries, troubleshooting invoice issues, and training team members on billing workflows.
• Liaise with finance partners and law firms to manage budget tracking, accruals, and expenditure reports.
• Oversee external legal service providers, including reviewing engagement terms, supporting rate discussions, and helping shape a structured panel of preferred law firms.
• Offer guidance to the legal department on budget planning, cost optimization, and implementation of alternative pricing models.
• Continuously evaluate and refine billing processes and vendor engagement to improve efficiency and consistency.
• Coordinate and contribute to various legal operations initiatives, ensuring timely delivery and cross-functional alignment.

Profile:

• 2–3 years of relevant experience in legal operations, with a strong emphasis on billing management and vendor oversight—preferably within a multinational business or a major law firm.
• Proficient in using legal billing systems (such as Brightflag) and well-versed in accounting and invoice management procedures.
• Demonstrated ability to support pricing negotiations, track legal spend, generate reports and KPIs, and maintain vendor relationships.
• Comfortable working at the intersection of legal, technical, and business teams, aligning systems and processes to organizational goals.
• Strong interpersonal and communication skills, with the ability to explain complex topics clearly and influence various stakeholders.
• Curious and improvement-driven, always looking for better ways to streamline processes and enhance service delivery.
